How to take meeting minutes

Taking meeting minutes well comes down to two things: keep them short, and give every action a name and a date. First decide which format for meeting minutes you need.

For most office meetings, action minutes are enough. Whatever the format, these belong in the minutes:

  • Meeting details: title, date, start and finish time, location or online link, chair, minute taker.
  • Attendees: who was there, apologies, and who receives the minutes.
  • Agenda: the items in the order they were discussed.
  • Discussion and decisions: one to three clear sentences per item.
  • Action items with owner and due date: a name rather than “the team”, a date rather than “asap”.
  • Any other business and the next meeting.

How to take minutes, step by step:

  • Before: prepare the template with meeting details and agenda, and carry over open actions from the last minutes.
  • During the meeting: jot down key points per item, and write down every decision and commitment with a name and a date straight away.
  • Straight after: write them up while everything is fresh. Neutral, factual, no opinions.
  • Check and circulate: ask the chair to review, then send them to the distribution list the same day.
  • Follow up: the action items are the first item at the next meeting.

What is the format for meeting minutes?

Meeting minutes start with the meeting details: title, date, time, location, chair, minute taker, attendees and apologies. Then come the agenda items, each with a short outcome and any decision, followed by action items with owner and due date. They end with any other business and the date of the next meeting.

How do you take meeting minutes?

Prepare the template with the agenda before the meeting. During it, note key points per item and write down every decision and commitment with a name and a date. Write the minutes up straight afterwards, keep them neutral and factual, ask the chair to check them and circulate them the same day.

What is the difference between action minutes and discussion minutes?

Action minutes record only what was decided and who does what by when. Discussion minutes also summarise the main points and arguments raised on each item. Action minutes suit most team and staff meetings, while boards and committees often keep discussion minutes so the route to each decision is on record.

Is there a meeting minutes template for Excel?

Who should take the minutes in a staff meeting?

The chair decides, and many teams rotate the role. The minute taker is named at the top of the minutes and circulates them promptly. Whoever takes minutes contributes less to the discussion, which is why it pays to rotate the role or let software take care of the note taking.
