Finished text, not a transcript
Filler words, repetitions and self-corrections disappear. SpeechToWork sets punctuation and numbers itself.
To use dictation on a Mac, turn it on under System Settings > Keyboard > Dictation. Then put the cursor in a text field, press the Microphone key or your shortcut and speak. This guide covers setup, voice commands, languages, privacy and troubleshooting for macOS Tahoe 26 and macOS 27.

Dictation is built into macOS, so there is nothing to install.
In the same section you choose the language, microphone source and shortcut, and turn Auto-punctuation on or off. Source: Apple Support.
Change the shortcut: under System Settings > Keyboard > Dictation, pick a preset from the Shortcut pop-up menu or set your own key. The presets available depend on your Mac model.
Good to know: Dictation stops automatically when no speech is detected for 30 seconds. According to Apple, you can dictate text of any length without a timeout. On Macs with Apple silicon you can keep typing while you dictate.
You say punctuation and line breaks as you go. These are some of the commands Apple lists:
| You say | Result |
|---|---|
| “full stop” or “period” / “comma” | . / , |
| “question mark” / “exclamation mark” | ? / ! |
| “colon” / “semicolon” | : / ; |
| “new line” / “new paragraph” | line break / new paragraph |
| “caps on” / “caps off” | next phrase in Title Case / back to normal |
| “all caps” | next word in capitals |
| “no space on” / “no space off” | next phrase without spaces / back to normal |
| “numeral” | next phrase as a number |
| “tab key” | moves to the next tab stop |
It is easier with Auto-punctuation: according to Apple it adds commas, full stops and question marks for you in supported languages.
According to Apple's feature availability page, on-device dictation requires a download of speech models. Apple Intelligence adds “more advanced Dictation” in English, including UK English, on Macs with M3 or later and at least 12 GB of unified memory.
On the device: In Keyboard settings, macOS shows whether your voice input is processed on your device and not sent to Siri servers. According to Apple, this applies to general text dictation, but not to dictating in a search box.
On the server: Anything not processed on the device is, according to Apple, sent to and processed on Apple's servers. Apple says such dictations are not stored unless you opt in to “Improve Siri and Dictation”, and your audio is not stored without that consent. Apple also describes a request history of transcripts and request data such as category, device details and performance statistics. It is tied to a random identifier that rotates several times an hour, not to your Apple Account, and may be kept for up to two years.
For personal notes this is usually fine. If you dictate patient data, client matters or HR issues at work, you should know which input can leave your Mac. Our guide to GDPR-compliant AI explains what matters.
If no text appears, work through Apple’s checklist:
macOS has two voice features that are easily confused:
| Feature | What for | Where to turn it on |
|---|---|---|
| Dictation | speak text into any text field | System Settings > Keyboard > Dictation |
| Voice Control | operate the whole Mac by voice, and dictate and edit text | System Settings > Accessibility > Voice Control |
Voice Control is mainly an accessibility feature: you open apps, scroll and click by command and dictate in dictation mode.
For a message or a note, Dictation is handy. With longer texts you will notice that it writes down what you say. Self-corrections such as “by Wednesday, no, by Thursday” stay in, and rewriting is a separate step via Writing Tools.
SpeechToWork is dictation software for Mac that picks up from here:
Speech recognition and the language model run on your Apple silicon Mac, in search boxes too and without internet. On top of that come call notes, meeting minutes and reading receipts. How local AI works is explained in our guide to local AI. On Windows, see the guide to Windows dictation.
All information on Dictation comes from Apple's official documentation:
As of October 2026. Checked on 12 October 2026 for macOS Tahoe 26 and macOS 27. Apple changes menu names and features with new macOS versions; Apple's current documentation always takes precedence. Apple, Mac and macOS are trademarks of Apple Inc., named here for description only.

Filler words, repetitions and self-corrections disappear. SpeechToWork sets punctuation and numbers itself.
Hold the right Command key, speak, let go. The text lands where the cursor is.
In search boxes too and without internet: your voice is processed on the Apple chip, not on a server.
Speech recognition and the language model are installed on your computer and run there. What you dictate ends up in your program and nowhere else. How the data flow works.
Audio and text stay on your computer. There is no server listening in and no AI provider in the background.
No third party processes your dictations. So there is no data processing agreement to sign and no international transfer to assess.
Once installed, SpeechToWork works offline. Only the licence check needs a connection.
Choose Apple menu > System Settings, click Keyboard in the sidebar and turn on Dictation. Then put the cursor in a text field and press the Microphone key or your Dictation shortcut. You can also start it with Edit > Start Dictation. In the same settings you choose the language, the microphone and the shortcut.
It depends on your Mac. If the keyboard has a Microphone key, it starts and stops Dictation. You can see and change the shortcut under System Settings > Keyboard > Dictation in the Shortcut menu, and you can also set your own key. To stop dictating, you can press Esc as well.
Largely, yes. According to Apple, general text dictation is processed on the device once the speech models are downloaded. Dictation in search boxes is the exception and goes to Apple's servers. macOS shows in the Dictation section of Keyboard settings whether your input stays on the device.
For many texts, yes, because Apple processes general dictation on the device. Dictation in search boxes goes to Apple's servers, though. Apple only stores your audio if you opt in to Improve Siri and Dictation. If you dictate patient or client data, you should know which input can leave your Mac.
Often Dictation is switched off, a different shortcut is set or the wrong microphone is selected. Check System Settings > Keyboard > Dictation and the microphone source there. If Voice Control is on, standard Dictation is not available. Without downloaded speech models, you may also need an internet connection.
No. According to Apple, you can dictate text of any length without a timeout. Dictation does stop automatically when no speech is detected for 30 seconds, so after a longer pause to think, simply start it again. On Macs with Apple silicon you can even type while dictating.
Dictation turns speech into text in a text field and is switched on under Keyboard. Voice Control operates the whole Mac by voice, opening apps, scrolling and clicking, and can also dictate. It lives under Accessibility. When Voice Control is on, you dictate through it instead of standard Dictation.
Dictate into Mail, Outlook, Word, Safari and any other Mac app, processed locally on Apple silicon.

SpeechToWork is new. Chrome, Edge and Windows SmartScreen only trust a file once it has been downloaded many times. For a new program they therefore show “Suspicious download” or “Windows protected your PC”. That is a judgement based on how well known the file is, not a malware finding.
The installer is digitally signed, publisher Danilo à Tellinghusen. To check, right-click the file, choose “Properties” and open the “Digital Signatures” tab. The Mac version is notarised by Apple.
