Which AI can you use with client data?

Accountants owe their clients confidentiality, and client records are personal data under UK GDPR. Cloud AI can be made safe, but it takes contracts, due diligence and clear rules about what staff may type in. The result is often a simple instruction: no client data. That rules out exactly the work where AI helps most.

SpeechToWork does its processing on the practice PC. Speech recognition and the language model are installed there, and there is no service provider who ever sees the content.

What AI takes off an accountant’s desk

  • Dictate client emails: “Write to Mrs Carter that we are still missing the March receipts for her VAT return” becomes a finished email.
  • Explain letters: frame an HMRC letter on screen and ask “What do they want, and by when?”.
  • Read receipts: supplier, number, amounts and bank details are ready as text, and every receipt is also added to a monthly list for Excel.
  • Get the terms right: add your specialist vocabulary to the dictionary once, and terms like trial balance, input VAT or self assessment are spelled correctly from then on.
  • Plain English: select a paragraph and say “simpler, for someone who isn’t an accountant”.

Alongside your accounting software, not instead of it

SpeechToWork does not replace your practice software. It types into any Windows program with a text field, including Xero, Sage, QuickBooks, Outlook or Word, and saves you the typing and wording there. No integration is needed for that.

Which AI is right for accountants?

One that keeps client data in the practice and saves time every day. SpeechToWork runs locally on your PC, types into any program and learns your specialist terms. It is not a research tool for tax databases. It is built for the everyday work of writing, rewording and reading documents.

Will AI replace accountants?

No. AI takes over routine work: wording client queries, structuring notes, copying figures from receipts. Professional judgement and responsibility stay with you. SpeechToWork writes drafts that you check and approve, so the advice your clients pay for still comes from you.

Can accountants use AI with client data?

Yes, if the data is protected. The key question is whether client information is disclosed to a third party. With SpeechToWork it is not, because everything is processed on your own computer. You still make the professional assessment for your firm, but local processing makes it far simpler.

Do staff need AI training?

A short briefing is good practice. In the EU, the AI Act has required businesses using AI to ensure sufficient AI literacy among their staff since February 2025. SpeechToWork works with a single key and needs very little training. We still recommend documenting a brief internal note on what it is used for.

Does SpeechToWork work with Xero, Sage or QuickBooks?

Yes, without an integration. SpeechToWork types wherever your cursor is, so it works in the text fields of Xero, Sage, QuickBooks and your other programs. There is no direct data transfer to your accounting software; you dictate or paste the text where you need it.
