AI for office work: emails, minutes and notes in half the time

Office work means writing all day: replies, queries, minutes, lists. With SpeechToWork you dictate emails instead of typing them, and the AI turns what you say into finished text in Outlook, Word or your business software. It runs on your PC, so customer data stays in the building.

Woman dictating an email at her desk
  • 3×faster to speak than to type, around 130 rather than 40 words per minute.
  • ≈ 1 sfrom releasing the key to finished text, measured on our test computer.
  • 100 %stays on your computer. Nothing is sent to the internet.
An example

What you say. What appears.

You sayHello Mrs Turner, um, I’ve received the documents, I’ll get back to you with the quote by Wednesday, no, by Thursday, best wishes

What AI takes over in the office

  • Dictate emails: speak freely, ums, ahs and slips included. Out comes a ready-to-send email with greeting, paragraphs and sign-off.
  • Have emails written for you: “Write an email to Mr Hughes asking him to send the contracts back by Friday” becomes a finished message.
  • Rewrite: select text and say “friendlier”, “Make it shorter” or “in German”.
  • Summarise: select a long email and ask “Which tasks does this give me?”.
  • Copy off the screen: frame a table in a PDF, say “Copy the table”, paste it into Excel.
  • Minutes: record meetings, and decisions and tasks are ready afterwards.

Can AI replace a secretary?

No, and that is not the aim. SpeechToWork does not answer calls or manage diaries. It takes the typing and wording off you and your admin team. The time you save goes to clients, customers and everything that needs a personal touch.

Let AI write your emails without giving data away

Most AI tools send your text to a server. For customer names, prices or HR data that is a risk. SpeechToWork processes everything on your Windows PC: recognition, wording and rewriting. There is no account, no upload and no charge per use.

Your advantage

Why SpeechToWork fits this job.

Finished text, not a raw transcript

Greeting, paragraphs, numbers and punctuation are right. Self-corrections are applied.

In every program

Outlook, Word, your browser, ERP or business software. No plug-in, no integration.

Customer data stays in-house

Everything runs locally. No upload, no processing agreement for your dictations.

Privacy

Local means local. No compromises.

Speech recognition and the language model are installed on your PC and run there. What you dictate ends up in your program and nowhere else. How the data flow works.

No upload

Audio and text stay on your computer. There is no server listening in and no AI provider in the background.

GDPR made simple

No third party processes your dictations. So there is no data processing agreement to sign and no international transfer to assess.

Works without internet

Once installed, SpeechToWork works offline. Only the licence check needs a connection.

Frequently asked questions

How can AI help with office work?

Mainly with writing. Emails, replies, minutes and notes are created by voice, and the AI turns them into finished text. It also helps you make sense of what arrives: summarising long emails, pulling out tasks and copying tables off the screen, all in the programs you already use every day.

What office tasks can AI take over?

Routine writing: replies to enquiries, follow-ups, chasers, minutes, call notes and copying figures from receipts or tables. SpeechToWork drafts all of this from what you say or select. Decisions, phone calls and conversations that need judgement stay with you and your team, so nothing goes out without a person checking it.

Which AI is best for office work?

One that works without training and inside the programs you already use. SpeechToWork needs a single key and types wherever your cursor is, in Outlook, Word or your browser. Because it runs locally on your PC, you can use it with customer data as well, without sending anything to a cloud provider.

Can AI replace a secretary?

No. SpeechToWork does not answer calls or book appointments. It speeds up the writing, both for your secretary or admin team and for everyone who types their own emails today. Think of it as a faster keyboard with a good editor built in, while the personal side of the job stays human.

Can I dictate emails and let AI write them without sharing data?

Yes, with local AI. SpeechToWork writes your emails on your own computer. The text only goes where you paste it, nowhere else. There is no account, no upload and no AI provider in the background, so customer names, prices and personal details stay on your PC.
